Capturing Organisational Challenges
For organisations like Sellafield Ltd, navigating complex technical challenges is a routine part of day-to-day business. The Challenge Portal was designed and delivered as a transformative solution, developed to streamline how technical challenges were identified across the site and directed towards the most effective route for finding solutions.
Acting as a single centralised repository for challenges and opportunities, the portal was developed by FIS360 Ltd to drive collaboration, foster innovation, and reduce duplication of effort.
Historically, the process for managing and addressing these challenges relied heavily on disparate tools such as spreadsheets, which were often not kept up to date, lacked a unified source of truth, and led to inefficiencies. This fragmented approach sometimes resulted in duplication of effort, with similar projects running concurrently without coordination.
Recognising these issues, The Challenge Portal was conceived as both a secure product and a service to centralise and streamline challenge management. It replaces the outdated, disjointed processes with a robust, collaborative platform that ensures data integrity, real-time updates, and seamless integration across the estate, while maintaining rigorous security protocols.
Sellafield Ltd is responsible for the safe and secure management of the Sellafield site in Cumbria, one of the most complex nuclear sites in Europe. Operating on behalf of the Nuclear Decommissioning Authority (NDA), Sellafield Ltd’s mission is to lead the safe, accelerated clean-up of the site while protecting people and the environment. Their focus is on decommissioning legacy facilities, managing nuclear waste, and delivering essential services to support the UK’s long-term nuclear clean-up strategy.
Sellafield Ltd’s work regularly involved resolving highly complex technical challenges, ranging from adapting existing technologies to pioneering entirely new processes. They required a robust platform capable of fostering open communication, collaboration, and the efficient resolution of these challenges. The Challenge Portal met this need, allowing Site Licence Company employees to submit challenges in search of solutions while enabling seamless collaboration among stakeholders.
We successfully developed and implemented The Challenge Portal for Sellafield Ltd. Both a product and an ongoing service, the portal was designed to serve as a centralised hub where challenges could be captured and shared securely and efficiently. It provided a streamlined process for identifying the best route to find solutions, whether those were off-the-shelf technologies or innovative approaches sourced through inter-sector collaboration.
Challenges were submitted via a bespoke, user-friendly online form and evaluated by a panel of relevant Sellafield stakeholders. The panel recommended appropriate solution mechanisms, drawing from a variety of internal and external routes. Challenge owners received structured guidance from the Portal delivery team, supported by innovation experts, to ensure effective solution pathways were pursued.
The online form was tailored to the client’s requirements and facilitated consistent and secure capture of challenge information, in addition to a mechanism to measure the anticipated impact of solving the challenge.
This collaborative system demonstrated the power of customer-focussed digital tools and set a precedent for future implementation by other organisations.
